How We Use Your Data
Reservations
To make a reservation or provide a quote, we require the following information at minimum:
- Gender
- Full name
- Date of birth: Needed to determine if you are old enough to drive one of our rental vehicles or the requested class. Your age also affects the insurance deductible.
- Phone number: Used to contact you if we have questions about your reservation.
- Email address: Used to send your reservation or quote.
Rental Agreement
When you pick up your rental car and a rental agreement is established, we require the following information:
- Gender
- Full name
- Address
- Date of birth
- Place of birth
- Phone number: Used only for contacting you regarding your reservation or rental agreement.
- Email address: Used to send invoices or communicate during or after the rental period.
- Address verification (if you live in the Netherlands): To confirm that you have a permanent residence in the Netherlands. Only the first and last name and address are registered.
- Driver's license information: Used to identify you and verify that you possess a valid driver’s license. We also check how long you have held your license, as we only rent vehicles to individuals who have had a valid license for at least one year.
- Local accommodation details and/or flight information (copy of airline ticket) if you reside abroad.
- Passport or ID information (if you reside abroad).
- International driver’s license (if your license is written in a non-Western script).
- Payment information: If you pay by credit card, the credit card number is anonymized (partially displayed).
How We Handle Your Data
Car Rental System
All collected data is recorded in our Car Rental System and stored for a maximum of seven years, in compliance with legal tax retention obligations.
Scans
We scan your driver’s license, passport or ID card (if applicable), address verification, and the rental agreement. These scans are stored in our Car Rental System. Scans are masked to hide sensitive information, such as your BSN number. All branches are periodically checked to ensure compliance with this masking protocol.
Scans are kept for seven years to comply with tax retention laws. After this period, they are deleted from our system. Only our employees have access to your data, and internal privacy policies dictate how data should be protected.
Paper Records
Certain documents, such as rental agreements, invoices, and BPM forms (if applicable), are printed and stored for seven years as required by law. After this period, they are destroyed using secure shredding methods.
Other documents are minimized in printing and sent via email whenever possible. When printed, they are destroyed using a shredder after your rental agreement is completed.
Newsletters and Offers
Digital newsletters or offers are sent only with your prior consent, which can be withdrawn at any time.
Camera Surveillance
All branches are equipped with security cameras that capture footage of the premises. These cameras are solely for the security of our property and the prevention of criminal activities. Footage is stored for a maximum of two weeks before being automatically deleted unless required by authorities.
Social Media
Köhler Autoverhuur uses social media platforms like Facebook. Any public posts or comments on these platforms are immediately visible to others and fall under this Privacy Policy. We reserve the right to remove any content at our discretion.
Your Rights
You have the following rights regarding your personal data:
- Request a copy of and access to your data.
- Receive information about the processing of your data.
- Have incorrect data corrected.
- Complete incomplete data.
- Request deletion of your data under certain circumstances.
